User Management

User management in Adeptia lets administrators create, configure, and maintain user accounts, control access through role assignments, and transfer or reassign ownership of integration objects, keeping your organization's integrations secure and well-organized as teams grow and change.

What you can do​

Administrators can perform the following actions from the Users section of the portal.

How roles and companies work​

Every user in Adeptia is associated with at least one company or partner and is granted one or more roles that determine what they can do in the platform. When you assign roles, you choose between two modes:

  • Assign Company Role Only: the user receives roles scoped to your own company, without a partner association.
  • Partner-based assignment: the user is associated with one or more partner companies, each with its own set of roles.

When a user holds more than one role, you can designate a Default Role that the platform applies by default. If you work with partners, the role picker shows partner-compatible roles instead.

A user cannot be assigned to the same company or partner in more than one role block, and you cannot mix your own company with partner companies in a single assignment block. If you attempt either, the platform displays a warning.

For organizations that operate as a spoke (partner-connected) company, the role assignment mode is fixed and the partner association is set automatically; no manual company selection is required.

Inviting a user​

  1. Open the Users section and choose the option to invite a new user.
  2. Configure role assignment (see How roles and companies work above):
    • If you want to assign a company-only role, select Assign Company Role Only (required) and then choose one or more roles from the Role field.
    • If you want to assign partner roles, leave Assign Company Role Only unselected. In each role block, select one or more companies or partners from the Company/Partner field (required), then select the corresponding roles from the Role field (required). If you select more than one role in a block, the Default Role field appears so you can designate which role applies by default.
    • To assign different roles to different partners, click Add to create additional role blocks. To remove a block you added, click the delete icon on that block and confirm when prompted.
  3. Optionally, enter a personal note in the Message field. A default message is pre-filled based on your company name.
  4. Optionally, enter an address in the Reply To Email field so that recipients can reply directly to a specific address.

Editing a user​

  1. Select the user you want to edit from the user list.
  2. Open the edit action for that user.
  3. Update the First Name (required) or Last Name (required) fields as needed. The Email and Company fields are shown for reference and cannot be changed here.
  4. Adjust role assignments using the same company, partner, and role controls described in the invite flow above.
  5. Save your changes.

Importing users in bulk​

Bulk import lets you create many user accounts at once by uploading a CSV file.

  1. Open the Users section and choose the import option.
  2. If your organization works with both company users and partner users, select either For Company or For Partner to indicate which type of users the file contains.
  3. Drag and drop a CSV file onto the upload area, or click Browse to select a file from your computer. Only CSV files are accepted.
  4. To understand the required file format before uploading, click View Guidelines to open the documentation, or click Download Sample File to get a template you can fill in.
  5. Submit the import. If any rows in the file cannot be processed, an error report is displayed showing the record number, email address, and a description of each problem.

Moving objects between users​

The Move Objects action lets you reassign specific integration objects (such as activities, templates, and transactions) from one user to another.

The process is guided and works in steps:

  1. Select activities: from the list of objects belonging to the user in the chosen projects, select the ones you want to reassign.
  2. Select a target user: choose the user who will become the new owner of the selected objects. Confirm the move when prompted.

Once confirmed, the selected objects are transferred to the target user.

Transferring ownership​

Transfer ownership moves objects owned by a user to another user. This is typically used before removing a user from the system.

  1. Open the transfer ownership action for the user whose objects you want to reassign.
  2. In the Select User field (required), choose the user who will receive ownership of the objects.
  3. Confirm the transfer.

Activating and deactivating users​

From the user detail view, a toggle switch controls whether a user's account is active. A logged-in user cannot toggle their own status using this control.

What the user detail view shows​

Selecting a user from the list opens a detail panel that displays the user's name, email address, internal identifier, title, and a summary of their company and partner role assignments. Each role assignment block shows the associated company or partner name, the roles granted, and, when more than one role is assigned, the designated default role.
